Seattle Veterinary Associates is seeking an experienced Practice Administrator. We are a progressive, veterinarian-owned, AAHA- accredited practice with five locations and an urgent care all situated within the heart of North Seattle. We have been a charter member of Veterinary Management Groups (VMG) for over 25 years, and we currently employ 17 DVMs and approximately 115 staff members.

The Practice Administrator will work directly with the veterinarian owners to establish the company’s business vision and goals for all four clinics/hospitals. Together, this Leadership Team will make many of the day-to-day veterinary practice management decisions. These include financial decisions, budgeting, employee management, marketing, drug and supply inventory and facility management. The Practice Administrator will also lead the Administrative Team comprised of a bookkeeper, clinic managers and inventory specialist.
The candidate must possess a high level of integrity, exhibit maturity, and embrace working in a team- managed environment. They will take an active role in the team process and leadership, providing oversight, support and appropriate feedback to other team members in order to improve workflow and efficiency. The candidate should have expertise in all areas of human resources, financial, marketing, facility, DEA and OSHA compliance.
We are seeking a candidate with a minimum of 5 years of experience as a Hospital Administrator. While not required, CVPM certification is greatly preferred, and an MBA degree would be a plus.
Responsibilities include but are not limited to: · Lead and be accountable for the Administration team and its functions (marketing, inventory, payables, payroll, benefits, HR, OSHA, financials, taxes, licenses, DVM scheduling and contracts, and team support, team training and coaching). · Plan and facilitate annual strategic planning meeting as part of the partner/leadership team. · Plan and facilitate annual budget meeting. · Prepare annual budget, present to the owners and set budget to achieve hospital profitability. · Coach teams through the budget process and hold them accountable to the approved finalized budget. · Prepare agenda and facilitate weekly Leadership meetings with the owner partners. · Interface with company CPA and lawyer when needed. · Oversee and prepare the doctors’ schedule that is prepared by the medical director. · Recommend, develop, and implement improvements for the practice that will provide friendly, professional relationships with clients. · Help self-managed teams by providing guidelines, training tools, etc. · OSHA/safety, ensure compliance with laws and regulations. · Handle communications with insurance representatives for medical, liability, and other vendor representatives. · Ensure the security of patients, staff, data, revenue, inventory and the buildings at each of our hospitals. · Create outcome-oriented accountabilities that allow every team member to take ownership of some element of practice success. · Plan and facilitate annual training meeting for entire staff. · Oversee the managers planning and facilitating of quarterly team trainings at each location. · Coordinate and facilitate computer updates or computer conversions alongside our IT representative. · Work with IT representative to maintain computer equipment and the security of client data and company financial data. · Help plan, permit, procure bids and financing, and provide project oversight on any major remodels or building construction. · Assist with VMG required data sharing and projects assigned.
